Taxellence respects the privacy rights of our clients and is committed to protecting all personal information in our possession or control. We have adopted this Privacy Policy to guide how we collect, use, and disclose the personal information we require in the course of fulfilling our professional responsibilities and operating our business. This policy is designed to meet the standards prescribed by the Personal Information Protection and Electronic Documents Act and its regulations ("PIPEDA").

At all times, we adhere to the requirements of the law and to our professional responsibilities, and we aim to be responsive to clients who expect us to respect their privacy and protect their personal information.

Taxellence is accountable for all personal information in our possession or control. This includes personal information we receive directly from individual clients, as well as information we may receive in connection with corporate clients. We have established practices aimed at protecting personal information, and questions about our privacy practices can be directed to us at the contact details below.

What is personal information?

Personal information is information about an identifiable individual. It includes, but is not limited to, name, mailing address, phone numbers, email address, date of birth, Social Insurance Number, financial information, and identification documents.

How do we collect your personal information?

Personal information is collected by fair and lawful means, for example, when you engage us to provide services, use the Taxellence website or client portal, or speak with a member of our team. We collect personal information directly from you, where we have obtained your consent to do so or as otherwise permitted by law.

In most instances, we collect personal information about our clients only for the purpose of providing professional services. When you engage us, we will explain why we require certain information, how it will be used, and with whom it may be shared in order to complete your engagement.

How will we ask for your consent?

We generally obtain your consent before collecting, and in any case before using or disclosing, your personal information for any purpose. You may provide consent verbally, electronically, or in writing. By creating a client account and submitting documents through our client portal, you consent to the collection, use, and disclosure of your personal information as described in this policy.

What happens if you choose not to give us your consent?

Clients always have the option not to provide consent to the collection, use, or disclosure of their personal information, or to withdraw consent at a later stage. Where a client chooses not to provide this permission, we may not have sufficient information to continue providing services to that client.

How do we use your personal information?

We limit the collection of personal information to what is reasonably required to provide our services or operate our business. In most instances, we use personal information about clients only for purposes such as the following:

  • To provide tax preparation, bookkeeping, and advisory services
  • To invoice and collect payment for services provided
  • To communicate with clients about their filings and accounts
  • To register clients for, and facilitate use of, our client portal
  • To develop and maintain our relationship with clients
  • Such other uses as may be permitted or required by applicable law

To whom do we disclose your personal information?

If Taxellence intends to use personal information for a purpose not previously identified to you, we will obtain your prior consent. We may disclose personal information without consent as permitted or required by applicable federal and provincial privacy law, for example, to comply with a subpoena, warrant, or order made by a court or other body with appropriate jurisdiction, or to a government institution that has requested the information and identified its lawful authority to receive it. Where permitted, we will attempt to advise affected clients in these circumstances.

How long do we retain personal information?

We keep records of the work we perform for clients. These records may include personal information and will be retained for as long as reasonably required for legal, administrative, or regulatory purposes.

How can you review the personal information we hold?

Clients have the right to review and obtain a copy of their personal information on file by contacting us. In most instances, we will respond to an access request within 30 days.

What if the information we have is inaccurate?

If it is demonstrated that personal information in our records is inaccurate or incomplete, we will correct it as required. Clients are encouraged to let us know of any changes to their personal information that may be relevant to the services we provide.

What safeguards have we implemented?

Taxellence protects personal information using industry-standard security tools and access-controlled systems. Documents submitted through our client portal are stored in a private, encrypted storage environment that is not publicly accessible, and access to client information is limited to staff who need it to provide services to you.

How can you raise a concern?

We will respond to individual complaints and questions relating to privacy, and will investigate and attempt to resolve all concerns raised with us. Protecting the privacy of our clients is very important to us. If you have any questions or concerns about your privacy and our role in protecting it, please contact us at:
